Office Administrator – Full Time, set hours of 9.00 to 17.00 – reporting to Office Manager Maternity Cover – 12 month contract commencing December 2015 eg technology is growing into one of the UK’s leading product design and engineering consultancies, serving the medical, biotech, cleantech, FMCG & consumer product industries. We work with small, fast-growing companies as well as leading blue chips in the UK and Europe who require a long-term relationship with an outsourced development partner. We are looking for an office administrator to cover maternity leave from December 2015. Duties will include: · Working closely with the Office Manager to ensure the smooth running of the office with day to day administrative duties, including Health & Safety, maintenance and utilities · Answering the telephone and processing calls, including diverting calls and taking messages · Welcoming visitors to the office, preparation of meeting rooms including arranging refreshments and lunches · Making travel arrangements · Making bookings for marketing exhibition stands and furniture, booking marketing media placements and maintaining the marketing calendar · Assisting in sales administration, prospect database work and diary arrangements for sales meetings · Dealing with post and couriers, organising outgoing domestic and occasional international shipments and producing relevant paperwork for customs purposes · Ordering and maintaining supplies for the office including stationery, kitchen equipment, provisions and marketing literature as well as ad hoc purchases · Assisting with Accounts processes such as scanning, entering invoices and creating purchase orders in Quickbooks (training of Quickbooks will be given) · Assisting with administration duties for recruitment Personal Attributes Specification: · Good spoken and written English · Ability to work as part of a team with good communication and organisational skills · Self-motivated with a positive attitude, good personal time management and a good sense of humour · Experience of bookkeeping or working within an accounts department would be desirable · Computer literate · Excellent attention to detail · Flexible attitude and ability to work under own initiative eg technology’s offices are located within easy access to the A14 with plenty of parking but still within cycling distance of the city. Salary will be dependent upon individual candidate’s expertise and experience.
